Job Summary
The Associate Registrar assists the University Registrar in providing dependable, friendly, and efficient service in the areas of registration, records, verification, and evaluation and in planning and implementing projects that support broader Enrollment Management and institution goals and initiatives. The Associate Registrar manages the day-to-day operations of the Registrar’s Office and supervises staff. This is a twelve-month, full-time, on-campus professional position that reports directly to the Registrar. The Associate Registrar must be capable of assuming any responsibilities deemed necessary by the Registrar and/or the Senior Associate Vice President of Enrollment Management in the absence of the Registrar.
Responsibilities
Manages day-to-day office operations, including the following services: catalog and curriculum management, course scheduling, registration, transfer articulation, transcript production, academic records maintenance and retention, enrollment and degree verification, degree audit, graduation clearance, commencement, tuition classification, athletic compliance, veterans benefit certification, and data reporting. Ensures all office process maps are up-to-date and reflect current practice. (40%)
Coordinates searches, trains, and supervises professional and student staff members. Continuously evaluates staff performance and employs techniques and opportunities to ensure sufficient professional development is accomplished. Completes corrective action plans when necessary. Completes and performs employee performance evaluations based on university policies. (20%)
Helps develop and implement projects and initiatives that support Enrollment Management and institutional enrollment, retention, progression, and graduation goals. (20%)
Assists with information management systems maintenance and training, including Banner, 25 Live, DegreeWorks, Slate, and Modern Campus. (10%)
Assists with the preparation of office communication plan, including information publications, website content, social media, routine eligibility notifications, and/or special program announcements. (5%)
Serves on Enrollment Management and institution committees as assigned. (5%)
Provides superior customer service to students, faculty, staff, alumni, and the general public. Serves as an integral member of a customer-service oriented team.
Troubleshoots difficult situations to insure sound resolution is achieved in a timely and efficient manner.
Ensures compliance with system and institution policies, NCAA regulations, VA regulations, and FERPA. Provides training as requested.
Fairly and consistently applies academic rules and regulations established by the faculty, administration, state, and university system.
Manages confidential communications and records in accordance with federal, state, and University policies.
Promotes effective communication and positive relationships with all members of the University community and with external constituencies.
Assumes any responsibilities deemed necessary by the Registrar and/or the Assistant Vice President of Enrollment Management in the absence of the Registrar.
Performs other duties as assigned.
Required Qualifications
Bachelor’s degree from a regionally accredited institution.
At least five years of progressively responsible full-time work experience in a college, university, or other educational setting.
At least two years of supervisory or training experience.
(Work experience as a student employee or graduate assistant will not be included in these calculations.)
Preferred Qualifications
Master’s degree in higher education, student affairs, education, information systems, or related field from a regionally accredited institution.
Prior work experience using Ellucian’s Banner or DegreeWorks systems, Slate, 25Live, and/or Modern Campus.
Prior full-time work experience in a college or university Registrar’s Office or academic department/college office. (Work experience as a student employee or graduate assistant will not be considered.)
