Job Description Summary
Reporting to the University Registrar, the Associate Registrar for Academic Scheduling and Registration Management works in close partnership with the University Registrar’s leadership team to achieve the office’s functional objectives with efficiency and integrity. The Associate Registrar has the primary duty of developing the course offerings schedule for all terms and sessions. The Associate Registrar also works closely with the University Registrar and leadership team on various administrative and academic departments to maintain the University’s academic calendar; gathers documents for incomplete student records; updates curricular changes in the Workday student information systems; trains and supervises staff and serves as back-up for monitoring the Registrar’s Office email accounts.
Supervise two to three full-time staff members and support the day-to-day management of the office as needed.
Maintain course listings and class schedules in Workday.
Manage the development and maintenance of the class scheduling process. Work closely with faculty and administration on the development of class schedule.
Coordinate with IT on the classroom assignments; ensure that classes are scheduled across all course blocks to ensure schedule and space optimization.
Assist with the development of registration cohorts and assignment of enrollment windows.
Responsible for data entry/integrity in Workday Student (SIS) and coordinates with Academic Services team to ensure alignment with course listings in CourseLeaf, catalogue and curriculum management technology.
Conduct comprehensive review of curriculum blocks and room availability to ensure efficient use of classrooms and support of all programs, cohorts and departmental needs. Considers classroom resources, faculty needs and departmental preferences.
Evaluate scheduling and classroom usage and provide solution-based recommendations to resolve classroom discrepancies, conflicts/double booking to the University Registrar who will coordinate recommended changes for facility upgrades and seating capacity changes
Assist with the First Year Registration Process. Ensure seat availability for incoming students.
Regularly assess business processes and suggests enhancements and improvements to improve efficiency. Including the review of scheduling software for purchase.
Work with the University Registrar’s leadership team to develop departmental objectives, goals, set priorities and short- and long-term strategic planning to guide efficient and effective operations.
Represent the Registrar’s Office on official university committees.
Assist the University Registrar in tracking curricular changes throughout the year to update course descriptions.
Assist with the coordination and execution of the annual commencement ceremonies in May.
Manage the faculty attendance reporting process at the beginning of each term.
Other responsibilities as required.
Bachelor’s degree with a minimum of three to five years’ experience in a college or university Registrar’s office or closely related job function.
Experience supervising full time staff.
Strong technology skills, particularly with systems used within a Registrar’s office, (student information systems, degree audit programs, catalogue and curriculum management platforms, scheduling software, etc.), are required.
Exceptional organizational skills with strong attention to detail.
Ability to work effectively in a fast-paced environment with frequent interruptions and maintain excellent customer service.
A master’s degree in higher education or another related field is highly preferred.
Interest and aptitude for learning new technology systems on an on-going basis.
Ability to manage staff in a busy, high traffic, sometimes stressful environment with strict deadlines for completion of tasks.

Typical office setting with extensive sitting and computer use.
Occasional weekend and evening hours are required.
