About the Opportunity:
Supporting the instructional activities of the University, the Office of the Registrar provides essential enrollment, curricular and student record services to the entire Brown community.
Responsibilities:
Under the direction of the Sr. Associate Registrar for Operations Management this position supports the overall goals of the Operations division within the Office of the Registrar. Those goals are to ensure the effective provisioning and delivery of services in all areas of curriculum management including but not limited to managing new and modified course proposals for Undergraduate courses via Courseleaf CIM. Additionally, in partnership with the Assistant Registrar for University Scheduling this position participates in the distributed facilitation and validation of departmental course offerings each semester in the Ellucian Banner SIS as well as enforcing and explaining Brown’s scheduling principles to all departmental liaisons.
In addition to the curriculum responsibilities the Operations Division is responsible for, the position supervises staff that deal with all areas of undergraduate and visiting student enrollment & registration; final grading ;overall University transcript production as well as commencement and degree conferral logistics as it pertains to diploma cover distribution and third party mailing.This area is also responsible for all enrollment certifications with the highest degree of accuracy via the National Student Clearinghouse portal (not including the file and error submissions) as well as ad hoc requests.
This position will also be directly involved with all undergraduate status/program changes; transfer credit articulation; and degree clearance. Additionally, this position must be fully aware and engaged in the certifying of VA Educational Benefits.Beyond the daily operational responsibilities the position is expected to provide pro-active participation in the thorough/methodical testing of emerging systems projects associated with the functional areas housed within the operations division; assist in the prioritization and delivery of the services/workflow of the unit; and serving as a critical resource in discovering/applying technology-driven solutions to optimize services to constituent base (students, faculty, staff, and alumni).
The Assistant Registrar for Operations Management manages, evaluates and provides leadership to three staff members the Operations Coordinator; the Student Services Assistant; and the Undergraduate Student Records and Graduation Coordinator all of which have a good deal of direct student contact and customer service orientation.
Qualifications:
– Bachelor’s degree and 3-5 years of related experience, or an equivalent combination of education and work experience.
– Strongly developed ability to analyze and act on complex queries against the student information system via IBM/Cognos ReportNet for all functions housed under the Operations division
– Ability to acquire sufficient knowledge of academic curriculum and related university policies to resolve and respond related to the work of the Operations division.
– Requires the ability to embrace change in an increasingly technology-driven environment
– Requires strong technical (Banner and Courseleaf experience preferred), excellent communication and interpersonal skills, the ability to anticipate information needs of others and the ability to evaluate situations and determine appropriate follow-up.
-Experience in writing queries against a database using Cognos ReportNet or other SQL based reporting tool.
-Knowledge of structure and inter-relationships of data elements and data files in Banner Records and Registration Module.
-Managerial experience of front office/transactional staff preferred. Ability to assess strengths/weaknesses of staff and re-train as necessary
– Knowledge of the business functions within a registrar’s office and how the retrieval of data supports those functions.
-Requires knowledge of University policies regarding student registration in courses, approval of new courses, and of procedures for authorizing changes to existing courses (e.g. introduction of enrollment limits, numbering changes and scheduling assignments).
-Requires ability to organize information and multiple tasks and keep them organized under the pressure of tight deadlines, a high volume of activity, and demands for action – sometimes intense – from both inside and outside the office.
