The Associate Registrar will be a member of the university-wide Registrar’s Office at Lewis and support students, faculty, and staff across the institution. The Associate Registrar reports to the Assistant Provost for Registration and Records and is responsible for preserving student record integrity and accuracy for current and former students and act as functional lead for an array of Lewis University systems and processes driven by the Office of the Registrar. In addition to adhering to current procedures, this position will aid in the improvement and implementation of new/modified business processes and reporting capabilities to increase efficiency. The Associate Registrar will provide leadership to Office of the Registrar staff.

Responsibilities:
Responsible to model the University’s Mission through dedicated job performance, service excellence to constituencies, respectful collaboration and active support of the University’s Mission as a Catholic and Lasallian institution of higher education.
-In collaboration with the Assistant Provost for Registration and Records, responsible for collecting, recording, maintaining, and reporting of student records within FERPA guidelines.
-Serve as functional lead for Office of the Registrar systems in collaboration with Office of the Registrar management team.:
Update and maintain currency of systems to ensure they are up to date and optimized for use by all relevant constituencies.
Ensure accuracy within student records and registration systems.
Developing, maintaining, improving, and analyzing data reports related to student records, including generating reports to inform university and office processes, retention initiatives, and tracking student persistence.
Identify and resolve technical issues within systems.
Create and document processes and continually improve workflows, in collaboration with the Registrar that lead to efficiencies within the work of the office.
Train Registrar team and university end users of systems.
Ensure the accuracy and integrity of student records.
-Collaborate with office staff and the Registrar in the creation of compliance reports.
-Support registration of continuing and incoming students, transfer credits, and degree evaluations across all locations.
-In collaboration with the Assistant Provost for Registration and Records, ensure the integrity, accuracy, and security of all academic records of current and former students.
-Serve as a point person to address and provide timely resolution for complex student record discrepancies.
-Comprehensive skills and integrity to think strategically and facilitate task/goal accomplishment in a time-sensitive environment while keeping both a broad scope and operational details in mind.
-Support and lead special projects and office/university initiatives.
-Collaborate with faculty and staff at all locations to review policies and processes for alignment.
-Serve on University committees and/or task forces as assigned. Perform other related duties as assigned.
Minimum Qualifications:
A bachelor’s degree is required. Experience in a university records office or working with sensitive data in a higher education setting. Ability to apply critical thinking strategies in order to streamline procedures for maximum efficiency, both short term and long term. Prepare reports and analyze data using current and available technologies not limited to but including Microsoft Office Suite. The ability to communicate well in English and Spanish both orally and in writing is strongly preferred. Candidates must also have a commitment to Catholic higher education and to the University’s LaSallian Mission.
Preferred Qualifications:
Master’s degree preferred. Experiences with Banner (or similar SIS such as Jenzabar), CourseLeaf products, Parchment, 25Live, Degree Works, and DegreeWorks scribe, etc.
