Summary

Manages and provides leadership for all aspects of student records, including the daily operations of the Registrar’s office. Directs, organizes, and facilitates the services and programs in the registration/records area. Responsible for completeness, accuracy, and security of student transcripts and pertinent records as well as submission of student data reports internally and externally. Establishes and monitors standards for confidentiality related to student records and University operations. Under the general supervision of the VP of Enrollment Management & Student Affairs, incumbent is responsible for one shift 8 hours a day 5 days a week. The incumbent is subject to hours beyond the normal workday.

Responsibilities

1. Manages and supervises the daily operations of the Registrar’s office, including but not limited to, oversight for accurate and secure student files, confidentiality of student records, coordination of publication of the University catalog and academic calendar, and maintenance of policies and standards related to compilation and retention of student records.

2. Responsible for the operation and maintenance of the student information system, including in-house training, computer maintenance, and software upgrades; collaborates with financial and admission staff to ensure complete information files.

3. Plans and directs student registration, including the preparation of course schedules for the academic curriculum in collaboration with the VP of Enrollment Management & Student Affairs and academic deans.

4. Responsible for interviewing, hiring, training, supervising, and evaluating personnel to ensure work by the Registrar’s office is performed in a timely, accurate, efficient, and quality manner; ensures efficient use of resources.

5. Generates and releases official certification of transcripts and/or enrollment per University policies, Family Educational Rights and Privacy Act of 1974(FERPA), American Association of College & Registrars Admissions Officers (AACRAO), and Southern Association of College and Schools (SACS) guidelines.

6. Directs student data gathering for institutional reports as well as reports for state and federal agencies including, but not limited to, enrollment, progression, and graduation reports.

7. Serves as data governance subject matter expert for the department and is responsible for definitions, processes and procedures, quality, accuracy, and maintenance.

8. Performs related accountabilities/responsibilities as required or directed.

Requirements, Preferences and Experience

Education

 Minimum:  Master’s degree in education administration. public administration, business or related field.

Experience

Desired:  Five to seven years of post-secondary supervisory experience.

Minimum:  Previous experience in managing academic records, statistical reporting, and handling of confidential records in post-secondary institution. Three years of post-secondary supervisory experience. 

Operational knowledge of personal computers, including keyboarding techniques, word processing, and experience managing databases and/or student information systems. 

Excellent verbal and written communication skills. Demonstration of effective problemsolving.
