The Assistant Registrar performs a variety of tasks to support the Registrar’s Office. This includes data management, reporting, committee work, and assisting with other core tasks for the office.  This position will also assist the Associate Registrar with a multi-year project for planning and implementing a new student information system.

The Registrar’s Office is located in a centralized academic building on campus. The office serves students, faculty, alums, and community members. The office is involved with a multitude of academic milestones including advising, transfer credit, course registration, maintenance and protection of academic records, and certification of students for continued enrollment and graduation. 
 

Job Duties

Data Management – Develop comprehensive knowledge of existing and new databases and their relationships and functions within the Student module, in order to optimize proper use of this student data. Update the existing and new degree audit system, which is used by students, advisers, and various staff across campus.  Create written/video documentation on all technology processes.  Maintain strict confidentiality of student records and other materials or information of a confidential or sensitive nature as it relates to FERPA (Family Educational Rights and Privacy Act).

Analysis and Reporting – Develop reports for the Registrar’s Office and campus partners.  Modify existing reports to meet changing needs and teach other departmental staff to utilize, modify and create reports.

Committee Work – Member of various committees, often related to technology, which meet on cross-departmental issues. Sits on other ad hoc working groups as needed and support the Registrar with their committee work.
10%-Essential

Core Tasks for the Registrar’s Office – Assist with core tasks that the Registrar’s Office completes each year. This includes tasks such as, but not limited to, working on the yearly class schedule, transfer credit, website updates, final exams, Commencement in May, student/adviser/faculty/alum/parent inquiries, diploma re-orders, and data entry.

Requirements

  • Bachelor’s degree with one year or more experience in higher education or a job related to technology.
  • A desire to learn new programs. 
  • The ideal candidate would enjoy having friendly interactions with students, faculty, staff, and alumni, while also relishing working independently on long-term and detail-oriented projects.

Preferred Requirements

  • In addition to the requirements above, the following would be an added plus, but are not required to apply for the position:
  • Experience completing a large, multi-year technology change project.
  • Prior experience in a Registrar’s Office.
  • Experience with Oracle databases, SQL Server, Oracle HR and Purchasing, Ellucian Banner, PowerBI, Etrieve, and /or KualiBuild.
