GENERAL STATEMENT OF DUTIES:

The Assistant/Associate University Registrar for Operations & Systems plays a key leadership role in optimizing and maintaining the University’s student information systems, academic scheduling infrastructure, and digital communication platforms. This position provides strategic oversight and day-to-day support for Banner, Coursedog, DegreeWorks, Transferology, Student Schedule Planner and other critical systems to enhance the efficiency, accuracy, and accessibility of student records and registration services. Additionally, the Assistant/Associate Registrar is responsible for ensuring that the Office of the University Registrar’s public web pages and University portal presence provide clear, up-to-date, and user-friendly information for students, faculty, and staff.

SUPERVISION RECEIVED:

Reports to the University Registrar/Executive Director of Student Records & Registration Services or other senior staff member assigned to the Office of the University Registrar.

SUPERVISION EXERCISED:

May exercise supervision over staff and student personnel assigned to the Office of the University Registrar.

EXAMPLES OF SPECIFIC DUTIES AND RESPONSIBILITIES:

  • Leads the day-to-day operations and optimization of student records and registration systems, ensuring the effective use of Banner, Coursedog, DegreeWorks, Transferology, Student Schedule Planner and related technologies such as Argos, Xtender, Parchment, 25Live.
  • Manages and configures Coursedog to support course scheduling, curriculum management, catalog management, and syllabus management ensuring seamless integration with Banner.
  • Provides training and support to faculty and staff on the various Coursedog modules, as well as other technologies used by the Office of the Registrar, including Banner, Degree Works, and Argos, to ensure efficient student record processes.
  • Provides strategic oversight and technical support for student data processing operations, including system upgrades, testing, troubleshooting, and implementation of new features.
  • Develops and maintains academic calendars for Graduate & Continuing Education (GCE) for fall, wintersession, spring, and summer terms, ensuring alignment with institutional policies and priorities.
  • Creates term parameters and configurations for both Day Division and GCE based on approved academic calendars.
  • Oversees prerequisite rules in Banner and ensures updates align with academic policy changes.
  • Assists with student data maintenance in support of day-to-day office business needs, including but not limited to resolving prerequisite errors and assisting with student registration issues and responding to inquiries from students, staff, and faculty regarding student records and myFramingham access.
  • Manages Argos report development to support data-driven decision-making and process improvements.
  • Ensures accuracy and consistency of student data, course offerings, and academic records in Banner and related platforms.
  • Collaborates with IT and academic leadership to assess and improve student information system functionalities, integrations, and reporting capabilities.
  • Assists with registration processes, final exam scheduling, and end-of-term processing (final grades, academic standing updates, Dean’s/President’s Lists).
  • Oversees and maintains the Office of the Registrar’s public web pages and University portal presence, ensuring that information on policies, procedures, and deadlines is accurate, clear, and accessible. Regularly reviews content for updates and improvements in collaboration with IT and campus stakeholders.
  • Develops and implements strategies to enhance digital communication and self-service tools for students, faculty, and staff through the University’s portal and web platforms.
  • Supports the production and publication of the University Undergraduate and Graduate Catalogs, the RAM Handbook, and other academic resources.
  • Represents the Office of the University Registrar on institutional committees, task forces, and working groups related to academic operations, technology, and policy implementation and/or special committees as assigned.

WORKING CONDITIONS:

  • Primary work is conducted in-person on-campus in an office setting Monday-Friday, 8:30am – 5:00pm.
  • May be eligible for limited hybrid work opportunities consistent with the Staff Telework Guidelines.
  • Ability to work off hours and on weekends as needed (may include hybrid work access).

Job Requirements:

MINIMUM QUALIFICATIONS:

For Associate Director/Associate Registrar

  • Bachelor’s degree required; Master’s degree preferred.
  • Minimum of six (6) years of experience in higher education student records management, registrar operations, or related administrative systems.
  • Thorough knowledge of higher education principles, practices, and procedures, including FERPA.
  • Significant experience managing and optimizing student information systems, such as Banner, Colleague, PeopleSoft, or other academic records platforms.
  • Strong technical and analytical skills with the ability to assess, configure, and improve administrative systems and processes.

For Assistant Director/Assistant Registrar

  • Bachelor’s degree required; Master’s degree preferred.
  • Minimum of three (3) years of experience in higher education student records management, registrar operations, or related administrative systems.
  • Working knowledge of higher education principles, practices, and procedures, including FERPA.
  • Experience managing and optimizing student information systems, such as Banner, Colleague, PeopleSoft, or other academic records platforms.
  • Strong technical and analytical skills with the ability to assess, configure, and improve administrative systems and processes

PREFERRED QUALIFICATIONS:

  • Experience with academic scheduling and curriculum management systems (e.g., Coursedog, Ad Astra, or similar) preferred.
  • Proficiency in data reporting tools (e.g., Argos, SQL, Power BI) and experience developing reports to support institutional decision-making.
  • Experience overseeing digital communication platforms, including web content management and student portals.
  • Strong written and verbal communication skills with the ability to convey complex information clearly to diverse audiences.
  • Demonstrated ability to lead projects, collaborate with cross-functional teams, and implement process improvements.
  • Ability to work effectively with professional, non-professional, and student personnel in a fast-paced environment.

Additional Information:

This is a full-time, exempt, benefits-eligible position in the Association of Professional Administrators (APA) bargaining unit with a union title of Assistant or Associate Director. The starting salary range is $60,000 – 78,000.
