Job Description: Associate Registrar
The Associate Registrar is primarily responsible for supporting functions of the Office of the Registrar relating to all student records maintenance and academic program support. Responsibilities include timely processing of student registration, degree audits, and grading, and overseeing program updates, transcript transmittal and supervision of the office support staff.
Responsibilities
- Provide direct assistance and support to the Registrar with office functions and responsibilities of the Office of the Registrar.
- Supervise and develop office support staff and conduct training to improve and enhance processes and procedures, including work study students.
- Manage staffing/ scheduling need to ensure adequate coverage of the Registrar’s office.
- Monitor program requirements, and process updates to student degree audits.
- Facilitate the transfer credit process.
- Keep up with trends and changes in FERPA, Higher Ed policy and practice, and other factors that may affect the delivery of services of the Registrar’s office to the campus community.
- Oversee maintenance and accuracy of student records, including grades, enrollment, transcripts, and admissions documents.
- Ensure adherence to institutional policies and regulations.
- Facilitate annual update and review of the university catalog.
- Manage student enrollment procedures, including registration, records, and the academic calendar.
- Maintain and update the Registrar process and procedure documents while adhering to university and academic policies.
- Oversee transcript order processing.
- Facilitate collaborative relationships with constituents and departments to create a presence for the Registrar’s Office on campus.
- Utilize student information systems (SIS) and databases to organize, update, and retrieve student records.
- Facilitate course, programmatic, and other updates in Colleague, the student information system at Life University.
- Generate reports for faculty, deans, staff, and external agencies as requested in compliance with FERPA regulations.
- Collaborate with academic departments, faculty, and administrative staff to facilitate university processes and student support.
- Provide guidance and support to the student community regarding registration, graduation, academics, and policies.
- Represent the Office of the Registrar in university committees as assigned.
- Complete special projects as assigned by the Registrar.
Requirements
- Bachelor’s degree.
- Three years of experience in a Registrar or records office, or another academic or student services office.
- Experience working in a team environment with a high focus on customer service.
- Familiarity and knowledge of FERPA.
- Experience working with sensitive information and able to maintain a high level of confidentiality.
