Position Summary:
The Registrar provides leadership and oversight to all aspects of the Office of the Registrar. The Registrar plays a critical role in academic operations by effectively managing the maintenance and integrity of all student academic records, the approved curriculum, the creation and maintenance of course schedules, all areas of student registration and the recording and reporting of grades, compliance with FERPA regulations, and the establishment and maintenance of processes for the equitable and consistent administration of policies and procedures as they relate to registration and academic record keeping. The Registrar must provide strong leadership consistent with the academic goals and mission of the institution.

The Registrar is a 12-month, full-time staff position.

Essential Duties and Responsibilities:

●       General student records management

  • Maintenance of student academic records
  • Preparation of course schedules
  • Registration of students
  • Overseeing the evaluation of transfer credit
  • Graduation duties, including auditing requirements for graduation and preparation of diplomas
  • Issuing of grade reports and transcripts

●       Oversight and management of the use of PowerCampus

  • Review and maintain degree audit programming
  • Work with information technology regarding updates and related training needs
  • Perform ongoing process assessment for improvement, including general knowledge of inter-office processes and coordination of efforts as needed

●       Certification of enrollment and eligibility requirements for:

  • Undergraduate and graduate students in general
  • National Student Clearinghouse
  • Athletics (NCAA Division III)
  • Recipients of VA funds

●       Maintains current information about distance/online education

●       Provide data on student enrollment for the campus

●       Reviewing FERPA for updates, assessing related processes and informing the general college community on related issues

●       Coordinating with Salem Academy about Academy students in College courses

●       General office management; oversight of processes, functions and personnel

●       Faculty and Committee Service as a member of the faculty

●       Other duties as assigned

Required Qualifications:

  • Master’s degree required, degree in higher education or related field preferred.
  • Minimum of five years of relevant experience in a registrar’s office or similar role in higher education is required.
  • Professional experience in a college or university registrar’s office is a plus; Three years of senior-level records management experience is required.
  • Thorough knowledge of higher education registration processing, grading systems and best practices in academic policy administration.
  • Strong working knowledge of federal and state laws pertaining to enrollment, student records, and institutional compliance.
  • Demonstrated extensive experience with applying technology to existing and emerging applications and innovative approaches to student information systems (SIS), registration processes, customer relation management (CRM) systems and other related functions.
  • Strong interpersonal skills and a demonstrated ability to work with a variety of internal and external constituencies.
  • Must have excellent written and verbal communication skills.

Preferred Qualifications:

  • Extensive experience with Microsoft Office 365
  • Experience with PowerCAMPUS student information system
  • Familiarity with Slate CRM and Acalog
  • Knowledge of Canvas

Physical Functions:
While performing the responsibilities of the Registrar, the employee is required to sit for varying lengths of time; occasionally stand, walk, and kneel and regularly ascend/descend stairs; use hands and fingers to handle or feel and manipulate keys on a keyboard; perform extended periods of work at a computer workstation, view a computer monitor; perceive sounds at normal speaking levels with or without correction, and receive detailed information through oral communication; express and exchange ideas using spoken word; and work in an office setting.
