POSITION DESCRIPTION:

Southern Oregon University (SOU), a regional public university located in Ashland, Oregon, invites applications for the position of Assistant Vice President of Enrollment Services (AVP-ES). Reporting to the Executive Vice President & Provost, the AVP-ES is a key leader responsible for developing, implementing, and assessing comprehensive enrollment strategies that align with the university’s mission and strategic goals. The AVP-ES provides strategic oversight and operational leadership for the Offices of Financial Aid, Admissions, Youth Programs, and Raider Student Services. Working closely with the Assistant Vice President of Student Affairs & Dean of Student, this role is primarily focused on attracting, enrolling, and retaining a diverse and talented student body, while ensuring a seamless and supportive student experience.

 

Minimum Requirements

 

• Master’s degree.

• A minimum of 5 years of progressively responsible experience in admissions or enrollment management in higher education, with at least 3 years in a leadership role overseeing multiple enrollment functions (e.g., admissions, youth programs, or financial aid).

• Demonstrated expertise in strategic enrollment planning, data analysis, and Customer Relationship Management (CRM) utilization.

• Proven ability to lead, motivate, and manage diverse teams.

• Strong understanding of federal and state admissions and financial aid regulations.

• Excellent communication, interpersonal, and presentation skills.

• Commitment to student success and a student-centered approach.

 

Preferred Requirements

 

• Experience at a small regional public university.

• Familiarity with the higher education landscape in Oregon.

• Experience with integrated student service models (e.g., one-stop shop).

• Demonstrated success in increasing enrollment and student retention.

 

Essential Functions

 

Duties – The following examples are typical work activities that are meant to illustrate the general range of work functions and are not meant to be all-inclusive or restrictive:

 

(30%) Strategic Enrollment Management

 

• Develop and execute innovative, data-driven enrollment plans to meet institutional enrollment goals for undergraduate and graduate students.

• Analyze enrollment trends, market data, and competitor activities to inform recruitment and retention strategies.

• Collaborate with academic deans, faculty, and other university departments to align enrollment efforts with academic programs and institutional priorities.

• Contribute to the university’s overall strategic planning and resource allocation related to enrollment.

 

(20%) Leadership and Supervision

 

• Participate as a member of the Provost’s Leadership Council, contributing to strategic decision-making for the academic, student, and enrollment affairs teams.

• Provide direct leadership and supervision to the Directors of Financial Aid, Admissions, Youth Programs, and the Manager of Raider Student Services.

• Foster a collaborative, inclusive, high-performing, and student-centric culture within Enrollment Services.

• Mentor and support staff development, promoting professional growth and continuous improvement.

• Conduct regular performance evaluations and ensure accountability across all reporting units.

 

(10%) Admissions

 

• Oversee the development and implementation of comprehensive recruitment plans, including targeted outreach, communication strategies, and campus visit experiences.

• Ensure efficient and equitable admissions processes, from application to matriculation.

• Monitor admissions funnel metrics and adjust strategies as needed to optimize yield.

• Maintain compliance with all federal, state, and institutional admissions regulations.

 

(10%) Financial Aid

 

• Provide strategic direction for the Office of Financial Aid, ensuring compliance with federal and state regulations (e.g., Title IV).

• Develop and manage institutional aid leveraging strategies to support enrollment goals and student access.

• Oversee the efficient and accurate disbursement of financial aid.

• Collaborate closely with the Vice President of Finance & Administration to ensure financial aid operations are in alignment with student accounts operations.

 

(10%) Youth Programs

 

• Oversee the development and management of pre-college and youth-focused programs, serving as a pipeline for future university enrollment.

• Ensure program quality, safety, and alignment with university mission and community needs.

 

(10%) Raider Student Services

 

• Lead the strategic direction and operational efficiency of the Raider Student Services, providing integrated support for admissions, financial aid, registration, and other essential student services.

• Champion a seamless and positive student experience, ensuring accessibility and responsiveness of services.

• Leverage technology and best practices to enhance service delivery and student satisfaction.

 

(10%) Operations Management

 

• Utilize enrollment data, analytics, and CRM systems to inform decision-making and measure effectiveness.

• Prepare and present regular reports on enrollment trends, outcomes, and strategic initiatives to university leadership.

• Manage the Enrollment Services budget effectively and efficiently, allocating resources strategically across departments.

• Identify and pursue opportunities for external funding or efficiency improvements.

• Ensure equitable access to information, resources, and services for all prospective and current students.

• Participate in university-wide initiatives, committees, and task forces.

 

Skills, Knowledge, and Abilities

 

• Excellent communication skills; demonstrated ability to effectively communicate information in a clear and understandable manner, both verbally and in writing.

• Demonstrated customer service experience requiring a very high level of diplomacy and professionalism to effectively handle a broad range of sensitive interpersonal situations.

• Demonstrated ability to interpret and consistently apply a wide variety of complex policies and procedures where specific guidelines may not always exist.

• Expressed ability to work with frequent changes in policies and procedures, under pressure of deadlines in a fast-paced environment.

• Demonstrated ability to proactively assess work operations and anticipate potential problems; ability to develop and implement strategies for preventing/resolving problems.

• Great ability to effectively perform work of a highly sensitive and confidential nature that requires access to information. Must be able to exercise sound judgment and discretion, tact, and diplomacy.

• Takes initiative in independently planning, organizing, and performing work assignments within broadly defined parameters

• Demonstrated ability to work with a high level of productivity and accuracy/attention to detail.

• Excellent organizational and time management skills with the demonstrated ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.

• Excellent computer skills and proficiency with a variety of computer applications including word processing, spreadsheets, databases, online systems, social media platforms, Internet as well as online calendaring and email.

• Demonstrated ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.

• Willingness to and work effectively in a heavily bureaucratic environment which requires regular interaction with a number of levels within the organization and multiple outside agencies.

• Working knowledge or ability to quickly learn, university infrastructure, policies, and procedures.

• Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.

 

Physical Demand

 

• Normal office activities such as sitting/standing at a desk, using a computer, answering phones, and communicating in person both in writing and via phone with others.

 

Special Conditions

 

• Must be willing to travel and attend training programs off-site for occasional professional development.

• Must be able to work additional hours and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.

• Must be able to successfully pass a pre-employment background check.

• This position classification has been defined as exempt and is not subject to the overtime provisions of the Fair Labor Standards Act (FLSA).

• The person holding this position is considered a mandatory reporter under the Oregon Revised Statutes and is required to comply with the requirements set forth by the Oregon Department of Human Services.

Today, the Confederated Tribes of Grand Ronde Community of Oregon (http://www.grandronde.org) and the Confederated Tribes of Siletz Indians (http://www.ctsi.nsn.us) are living descendants of the Takelma, Shasta, and Latgawa peoples of this area.
