Reports to: Provost

Purpose: The job holder will provide leadership and oversight to all functions performed by the personnel of the Office of the Registrar. This includes oversight of both associate registrars, transfer credit operations, graduation-audit operations, and all other registrar related services. He/she plays a critical role in the academic operations by effectively managing the maintenance, accuracy, integrity, and security of all student academic records under the Family Educational Rights and Privacy Act (FERPA). The job holder is responsible for maintaining the approved curriculum, creating and managing classroom schedules. Also, he/she will be responsible for all areas of student registration and the recording and reporting of grades. And, for the establishment and maintenance of
processes for the equitable and consistent administration of policies and procedures as they relate to registration and academic record keeping. The job holder provides operational support to the academic schools and departments and facilitates the use of technology in order to support and enhance student services. He/she must provide strong leadership consistent with the academic goals and mission of the institution and must be guided by the principles of fairness, good stewardship, and commitment to excellence.

Responsibilities:

  • Oversee the overall operations of the registrar’s office, supervise associate registrars, and serve as a gatekeeper for all policies and procedures related to
    academic records and a steward of students’ information;
  • Recommend and participate in the development of academic university policies and procedures regarding student registration, records, class schedules,
    instructional space scheduling, residency requirements, and graduation requirements;
  • Represent the University on issues pertaining to student academic records to various institutional divisions as well as externally to governmental agencies;
  • Maintain and upgrade the University’s academic information infrastructures including academic records archives, on-line student database, and other electronic databases, student information and degree audit systems;
  • Oversee recruitment, training, supervision, and evaluation of staff in the Office of the Registrar;
  • Oversee the overall operations of the functions reporting to this position;
  • Oversee the development and publishing of the class schedules;
  • Oversee the military service status for Egyptian male students;
  • Develop and manage annual budgets for the office
  • Create the academic calendar in conjunction with the Office of the Provost, study the impact of suggested changes to the academic calendar, and make
    recommendations for change to the Senate
  • Coordinate activities related to commencements
  • Serve on university committees relevant to the area
  • Perform miscellaneous job-related duties as assigned

Requirements:
Minimum Education Requirements:

  • Master’s degree
  • Doctorate degree preferred

Experience:

  • 5-10 years of managerial experience as a registrar or closely related enrollment management professional at a higher education institution

  • Good judgment and independent decision-making skills; ability to manage multiple priorities and projects
  • Proficient in the use of computers and information systems including Microsoft applications, and a variety of software applications and student information systems (Banner preferred) and degree audit systems (DegreeWorks preferred)
  • Familiarity with the basic operations of the Office of the Registrar and the best practices at other academic institutions
  • Understanding of and ability to enforce academic policies and procedures, standards and curricula
  • Familiarity with the Family Educational Rights and Privacy Act (FERPA) regulations
  • Experience in advising and student interaction; ability to troubleshoot student issues
  • Knowledge of University academic policies, procedures, processes and rules concerning registration processes, transcript production, processing grades, graduation certification, and record retention and storage
  • A commitment to diversity and inclusion in the workplace
  • Ability and willingness to effectively provide support to international students
