Registrar
The University of Tennessee at Martin invites applications for the position of Registrar. The Office of Academic Records, part of the Division of Enrollment Management, plays a critical role in supporting student success, academic integrity, and institutional effectiveness through the management of academic records, registration, scheduling, and commencement operations.
Reporting to the Assistant Vice Chancellor for Enrollment Management, the Registrar provides leadership and strategic oversight for all functions related to academic records and registration. This position collaborates with faculty, academic leadership, Enrollment Management colleagues, and campus partners to ensure accurate records management, effective academic operations, and compliance with university, state, and federal policies. The Registrar frequently interacts with students, faculty, and staff across the Martin campus and instructional sites and may be required to work occasional evening or weekend hours during peak academic periods. This position is an in-person role located on the Martin campus. The successful candidate is expected to maintain a regular on-site presence to support students, faculty, and university operations.
Key Responsibilities
Leadership & Administration
· Direct the daily operations of the Office of Academic Records, including staff supervision, goal setting, performance management, and budget oversight.
· Establish, monitor, and approve the operating budget for the Office of Academic Records.
· Serve on the Enrollment Management leadership team and participate in campus committees, special projects, and initiatives supporting the mission of UT Martin.
· Collaborate with faculty, administrators, staff, students, and alumni to resolve issues and implement solutions that improve processes and prevent recurring concerns.
Academic Records & Registration
· Oversee registration, drop/add processes, grading, permanent academic records, transcripts, enrollment verifications, degree audits, student holds, and prerequisite enforcement.
· Manage student degree completion processes, graduation certification, senior tracking, and all commencement activities.
· Certify academic eligibility for student-athletes in compliance with NCAA regulations.
· Oversee transfer articulation, student academic requests, and curricular changes.
· Maintain curriculum updates and oversees responsibility for the University catalog.
Scheduling & Academic Operations
· Prepare and publish the class schedule, academic calendar, and examination schedule.
· Coordinate academic room assignments and oversee campus-wide course scheduling to ensure instructional needs are met.
· Oversee course scheduling across all academic units and instructional sites.
Compliance, Policy & Reporting
· Implement and interpret academic policies approved through faculty governance and ensure compliance with institutional, UT System, and regulatory requirements.
· Interpret Tennessee Higher Education Commission guidelines and oversee required statistical reporting, including census-day reporting critical to institutional funding.
· Maintain a working knowledge of regulations related to UT System policy, the Ohio Valley Conference, NCAA, Tennessee residency requirements, and U.S. Department of Education guidance.
· Review and recommend revisions to academic records policies and procedures to ensure compliance and alignment with best practices.
· Lead training initiatives for faculty, staff, and administrators related to academic policy, compliance, and regulatory requirements.
Technology & Data Integrity
· Oversee the management and effective use of student information systems and degree audit software, including Banner and Degree Works.
· Use institutional data and technology to inform enrollment and retention strategies and leas efforts to modernize operations, improve efficiency, and enhance the student and faculty experience.
· Ensure data integrity across academic records systems, including coding structures and authorization controls.
· Oversee development and maintenance of office websites, automated forms, and related technologies.
· Develop and lead training for faculty, staff, and administrators on systems, policies, and procedures related to academic records.
Qualifications
The minimum qualifications are:
• Bachelor’s degree from an accredited institution;
• Minimum of five years of progressively responsible experience in academic records, enrollment management and/or related higher education functions
• Experience with staff supervision and/or providing work direction to staff
The preferred qualifications are:
· Master’s degree in higher education administration, business, public administration, or a related field;
· Experience serving in a leadership role within a Registrar’s office at the Assistant Director level or higher;
· Experience with Banner and Degree Works.
· Familiarity with NCAA academic eligibility certification.
· Knowledge of student information systems and degree audit software.
· Strong understanding of academic policy, FERPA, compliance requirements, and data integrity.
· Excellent communication, organizational, and collaborative skills.
Supervision Received
This position reports to the Assistant Vice Chancellor for Enrollment Management and receives general direction regarding departmental goals and priorities.
