ORGANIZATIONAL SUMMARY:

The Student Success division at the University of South Florida, is comprised of 60 departments, providing students with academic support, engagement opportunities, health & wellness services and enhancement of the educational experience.

The Office of the Registrar leads a hub of critical services for student, faculty and staff, including student and academic record keeping, a conflict free academic schedule, registration, graduation, data reporting and state and federal compliance to support the university’s educational programs.

POSITION SUMMARY:

The Associate University Registrar administers student enrollment activities and ensures functional use of the student information system and other technology. This position is responsible for protecting student information and providing reports concerning student enrollment. Lead for overall direction, support, and management of technical solutions and data management. Plays essential role in enrollment information development and submission process, directing preparation of federal reports, developing internal enrollment statistics including weekly enrollment reports and demographic reports during registration periods, and answering ad hoc internal data requests, continuously collaborating to further develop and circulate accessible data and reports. Collaborates with colleagues on process enhancements and technical solutions on behalf of the URO. Provides input on strategic planning, enrollment management, emergency preparedness, state and federal compliance, core work enhancement, performance management, student record and data management and statistical analysis, presentation, reporting, and outcomes assessment.

RESPONSIBILITIES:

Analyzes SIS tables to establish knowledge of data for accurate retrieval and use in report writing. Uses available business intelligence tools to lead development and maintenance of ad hoc reports. Oversees the development of cyclical and ad hoc data queries on enrollment statistics in addition to providing reports on performance metrics across the URO, including daily registration reports during enrollment periods.  Continuously collaborates with University Registrar, data owners and stewards across the institution to achieve data accuracy and produce reports in keeping with strategic priorities. Leads clarification of desirable parameters to ensure that requestors get the information they need. Develops systems and automated processes for checking data to ensure data integrity of student information and catalog information housed in the SIS, including oversight of beginning and end of term processes for the URO. Provides support to end users on standardized and ad hoc reports.

Provides direct supervision to three Assistant Registrars who maintain communication and compliance tasks for the URO to include NCAA, NSC, and NSLDS reporting. Oversees preparation of data for the external enrollment submission process, including state and federal reporting. Oversees submission of enrollment and graduation reports to the National Student Clearinghouse. Finds solutions for problems as they are encountered, in addition to proactively identifying system enhancements through new development. Develops and configures complex business processes to stay current with reporting requirements. Leads continuous review of procedures and modifies processes based on changes to software and workflow.

Shares responsibility with other Associate Registrars for leading functional user testing, documentation, and overseeing the implementation of software used by the URO, and leads team in the analysis, evaluation and functional testing of SIS and other software upgrades, new system releases and patches. Review vendor(s) technical and functional documentation to indemnify processes and assess integration issues. Verifies compliance testing and work with functional leads to conduct performance and compliance testing to validate fixes and corrections. Ensures SIS and other related software integrates with units across the institution and that all administrative decisions and policies are implemented. Coordinate system installations, system security approvals, table updates, upgrades and testing activities with IT and vendors.

Serves as the Primary Process Owner for Banner Student and executes appropriate data stewardship responsibilities for that module. Provisions access to student information system, document imaging system roles controlled by the URO; manages entire provisioning process for these systems plus Degree Works, with a team that manages and responds to queries from end users seeking new or updated system access to complete their professional duties.

Responsible for ensuring confidentiality of student data. Performs all work with confidential and sensitive student information under observance of the Family Educational Rights and Privacy Act (FERPA), and other federal and State guidelines. Informs the individuals working with confidential student information about legal restrictions, privileges, and ethical considerations surrounding its use.

Supports the mission of Student Success, Enrollment Planning and Management, and the URO with other duties as assigned. Regularly updates University Registrar on status of projects, highlighting important issues and areas concern. Serves on institutional committees and represents the university at statewide and national conferences to ensure the mission and goals of the institution and the URO are met. Serve as essential personnel for Continuity of Operations Planning for the continuation of essential functions during a disaster or emergency.
