Assistant Registrar
Primary Purpose:
The Assistant Registrar (Academic Records & Course Scheduling) aids the University Associate Registrar in maintaining student records. The Assistant Registrar assists with student enrollment, and transfer, monitors degree progression and audit, withdrawal, and course maintenance for the Sacramento campus.
Essential Functions:
• Collect, maintain, and report student records within FERPA guidelines (i.e., grades, registration data, transcripts, enrollment verification, academic probation) and associated academic audits.
• Manage academic and room scheduling process, coordinate with San Francisco and Stockton campuses on room scheduling software, monitor room utilization, and ensure that scheduling is done in accordance with university policies on class patterns and room use.
• Organize and administer records, progression, and graduation eligibility of all students, graduate, and undergraduate, including award and diploma distribution.
• Assist with curriculum workflows, academic forms processing, and analysis of curricula changes as they pertain to student progression.
• Aid in maintaining degree audit software including scripts, reporting, and audit interpretation.
• Train and cross-train VA certifying officers and support CSAAVE annual applications process. Support implementation of new systems and upgrades of add-on and ancillary systems that support the academic.
• Support and participate in the development, delivery, and training of business processes, systems usage, data integrity, and end-user training regarding best practices for Registrar processes/procedures.
• Manage best practices with course equivalency issues related to transfer evaluations and degree audits.
• Serve as a committee representative and collaborate frequently with campus partners across the university.
• Participate in professional development activities and associations.

Minimum Qualifications:
• Bachelor’s Degree.
• Three (3) years of progressively responsible management experience in higher education administration or related records/academic administrative office in a higher education institution.
Preferred Qualifications:
• Master’s Degree.
• Three (3) years of progressively responsible management experience in higher education administration, preferably in the Office of the Registrar and/or other records environments and/or academic administrative offices.
• Knowledge of Registrar Office functions.
• Knowledge of the rules, regulations, and policies regarding student records and application to degree requirements.
• Knowledge of customer service standards and procedures.
• Knowledge of records archiving scanning and/or retrieval.
• Knowledge and clear understanding of the Family Educational Rights and Privacy Act (FERPA).
• Knowledge of manual and electronic degree audit software and processes.
• Knowledge of commencement processes.
• Knowledge of Banner Software.
• Ability to investigate and analyze information and to draw conclusions.
• Ability to maintain confidentiality of records and information.
• Ability to effectively operate a personal computer and utilize appropriate software in communication with students/staff.
• Ability to develop, plan, and implement short- and long-range goals.
• Ability to foster a cooperative work environment.
• Employee development and performance management skills.
• Ability to create and edit written material.

Requires extended periods of sitting and repetitive hand/wrist motion while using computer keyboard and phone. Occasional standing, walking across campus, climbing stairs, bending, stooping, and reaching. Constant verbal and written communication and occasional lifting up to 25 pounds.
Work Environment/Work Week/Travel:
Work is primarily performed in a standard office environment. Work performed during standard business hours, occasional overtime may be required during peak periods of the academic year. Occasional travel to off-site locations, distant campuses, and conferences.
Hiring Range: $66,650.00 per yr to $71,303.70 per yr. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate’s qualifications, internal equity, as well as market and organizational considerations when extending an offer.
