West Virginia University Institute of Technology Campus is seeking a Registrar to join our team. The WVU Tech Registrar supports the academic function of the campus in cooperation with the WVU Tech campus administration and the West Virginia University Registrar. The Registrar will report to Campus Provost and the University Registrar.
As the West Virginia University Institute of Technology Campus Registrar, your duties will include but will not be limited to the following:
Oversee registration, scheduling, grade submission and the application of transfer credits.
Comply with record-keeping policies and associated procedures in keeping with established practices, including the issuance of transcripts and diplomas and the release of official student data.
Maintain accurate student records in keeping with established practices and provide routine data reports, including enrollment and retention numbers, in support of academic and administrative decisions.
Review campus policies and procedures with respect to the integrity of student records and recommend changes to maintain compliance with accreditation requirements.
Work with West Virginia University Registrar to discuss common records issues and initiatives.
Guide and train WVU Tech Registrar’s office employees in varied registrar activities and functions.
Interpret and explain existing policies to WVU Tech faculty and staff and ensure compliance with applicable state and federal laws [e.g., Family Educational Rights and Privacy Act (FERPA)], and regulations as they relate to records management.
Oversee policies and procedures related to access, privacy and security of student information, especially regarding meeting extracurricular legal requirements.
Provide leadership and supervision of the Campus Registrar’s office in its strategic direction and daily operations.
Provide daily oversight of continuous quality improvement initiatives in unit.
Guide and train employees in required activities and functions.
Appropriately delegate projects or responsibilities to assigned employees.
Serve as liaison between employees and the WVU Tech administration as well as the Registrar’s office in Morgantown.
Work with the Campus Provost to develop budget requests and recommend expenditures based on unit and customer needs.
Contribute to campus strategic planning based on operational knowledge of student records and external reporting requirements.
Identify improvement opportunities as well as compliance requirements necessitating changes to current procedures and recommend appropriate courses of action to the Campus Provost.
Excellent critical thinking and interpersonal skills, including tact, diplomacy, flexibility;
Excellent verbal and written communication skills;
Ability to establish and maintain effective and collaborative working relationships with other administrators, instructors, students, other educational institutions officers, government agencies and the general public.
Outstanding organizational skills and the ability to coordinate systems and processes while engaging other stakeholders.
Demonstrated knowledge of modern electronic student record storage and delivery systems.
Demonstrated ability to lead and participate in project teams in a complex environment that involves technology personnel and end users.
Demonstrated knowledge of federal and state regulations including FERPA and Veterans Administration.
Master’s degree or Bachelor’s and 5 years of experience related to the position.
